The primary difference is the minimum age requirement: Vantage Stays (5+ bedroom cabins) requires guests to be at least 25 years old, while Bear Camp (1-4 bedroom cabins) requires guests to be at least 21. All other terms are consistent across both brands.

How do I book a cabin?

Booking with Vantage Stays is simple. Browse our available cabins on our website, select your preferred dates, and complete the reservation process online. A 50% deposit is required at the time of booking to confirm your reservation, with the remaining balance due before arrival. We accept all major credit cards through our secure payment gateway.

What's your deposit and payment policy?

A 50% deposit is required at the time of booking for all reservations. The remaining balance is due before your arrival date. Any applicable refunds may take up to 30 days to process. We accept all major credit cards through our secure, PCI-DSS compliant payment gateway. Deposit Protection, if desired, must be purchased at the time of booking to be eligible for cancellation flexibility.

What's your cancellation policy?

For 1-3 Bedroom Cabins: With Deposit Protection, we offer a 30-day cancellation policy. Cancellations made 30 or more days prior to arrival receive a full refund minus the deposit protection cost. You also get one free reschedule allowed up to 15 days prior to arrival. Without Deposit Protection, our policy is strict with no refunds or rescheduling allowed.

For 4+ Bedroom Cabins: With Deposit Protection, we offer a 60-day cancellation policy. Cancellations made 60 or more days prior to arrival receive a full refund minus the deposit protection cost. You also get one free reschedule allowed up to 30 days prior to arrival. Without Deposit Protection, our policy is strict with no refunds or rescheduling allowed.

Important: In case of no-show, all money paid is forfeited.

What is deposit protection?

Deposit Protection is an optional add-on that provides cancellation flexibility. It must be purchased at the time of booking to be eligible. With protection, you can cancel within our policy windows and receive a refund minus the protection cost. This is especially valuable for longer bookings or during uncertain travel periods.

Properties & Amenities

Are pets allowed?

Pets are only allowed in specifically designated pet-friendly cabins. Only dogs are permitted (no cats, birds, or other animals). A maximum of 2 dogs per stay is allowed, and neither dog may weigh more than 40 pounds. A non-refundable pet fee of $75 plus tax per pet is required.

Pets left alone in the cabin must be crated at all times. If a pet sheds excessively, leaves behind fleas, or causes damage to the property, you will be responsible for the cost of cleaning, treatment, repairs, or replacement.

Important: If a pet is found in a non-pet-friendly cabin, a cleaning fee of up to $1,000 will be charged, the guest will be escorted from the property immediately, and all money paid will be forfeited.

What's included with my stay?

Each cabin comes fully supplied with all linens and towels. We provide a complete set of kitchen items including toasters, blenders, mixing bowls, cookie sheets, dishes, and silverware. Starter supplies are included: paper towels, toilet paper, dish soap, hand soap, dishwasher tablets, dish sponges, kitchen towels, trash bags, and coffee. A washing machine is available on-site for your laundry needs.

Do cabins have WiFi?

Yes, most of our cabins feature free high-speed WiFi that's strong enough for streaming movies and remote work. Please note that some newer cabins may not have WiFi installed yet. Check your specific cabin listing for connectivity details.

Can I purchase firewood or add-on services?

Firewood is not included in your stay but is available for purchase as an add-on service. We also offer special celebration packages including romance setups, s'mores kits, flowers, and snack trays. Contact us for pricing and availability of these special services.

Eligibility & Booking Requirements

What's the minimum age requirement?

You must be at least 25 years of age to book and pay for a Vantage Stays cabin (5+ bedrooms). For smaller 1-4 bedroom cabins through our sister company Bear Camp Cabin Rentals, the minimum age is 21.

The primary guest responsible for the reservation must meet the applicable age requirement and is responsible for their entire group and all charges incurred during the stay.

What are your check-in and check-out times?

Check-in: Begins at 4:00 PM EST. We make every effort to have your cabin ready at this time. Please do not attempt to check in before 4:00 PM.

Check-out: 10:00 AM EST. Guests will be billed $25 per half hour if not vacated by 10:00 AM. Any guest not checked out by 12:00 PM will be charged for an additional night.

Check-out duties: Place all dirty dishes in the dishwasher and start the machine (or wash by hand), place towels and linens in the bathroom tub, place all trash in the receptacle, secure the hot tub lid, and lock all doors and windows. A minimum charge of $50 applies for excessive cleaning beyond normal expectations.

Do you inspect cabins?

Yes, an inspection of each unit is taken before check-in and after check-out to ensure the property is in excellent condition for all guests. This helps us maintain our high standards and document any pre-existing conditions.

Damage & Property Protection

What if I accidentally damage something in the cabin?

We offer three levels of Property Protection Coverage to help cover accidental damages:

  • Basic Protection: Covers up to $500 in accidental damages
  • Enhanced Protection: Covers up to $1,000 in accidental damages
  • Premium Protection: Covers up to $2,500 in accidental damages

Any damages beyond your selected protection level, or damages deemed intentional, will be charged to your credit card on file. You authorize Bear Camp Cabin Rentals DBA Vantage Stays to charge these expenses. Property will be replaced at current retail value plus a $35 service fee. A post-checkout inspection is conducted for all stays.

What's your credit card authorization policy?

By booking with us, you authorize Bear Camp Cabin Rentals DBA Vantage Stays to charge any expenses related to repairs, extra cleaning, theft, or vandalism of any property from the unit to your credit card on file. This includes damages beyond normal wear and tear, excessive cleaning needs, and any unauthorized use of the property. Property will be replaced at current retail value plus a $35 service fee. All charges are processed through secure payment gateways that comply with PCI-DSS standards.

What happens if there's damage beyond normal wear and tear?

Guests are responsible for any damage to the property beyond normal wear and tear. The unit is inspected before check-in and after check-out to document any changes. You authorize Bear Camp Cabin Rentals DBA Vantage Stays to charge the cost of repairs, replacement at current retail value plus a $35 service fee, or additional cleaning to your credit card on file. Normal wear and tear is expected and accepted; intentional or careless damage is the guest's responsibility.

Activities & Guest Policies

Can I use ATVs in the area?

ATVs and off-road vehicles are not permitted on cabin property, resort roads, or within residential communities. However, there are ATV-friendly trails and rental outfitters in the surrounding Smoky Mountain area. Please check local regulations and respect all trail rules. Contact us for recommendations on nearby ATV experiences.

What if there's a problem during my stay?

Contact us immediately at (865) 408-1817. Our team is available 24 hours a day, 7 days a week to handle maintenance issues, questions about amenities, or any concerns. You'll speak to a real person who can assist you right away.

What if my stay is affected by acts of God?

No refunds are provided for acts of God, loss of electrical power, lack of or issues with water, air conditioning problems, or cable/satellite outages. These situations are beyond our control. We will make every effort to resolve issues quickly and keep you informed. For extended service interruptions, contact our support team at (865) 408-1817. No refunds or credits are issued due to weather-related conditions, road closures, or inability to reach the cabin due to road conditions or driveway grade.

What about pests or wildlife near the cabin?

Our vacation homes are treated monthly for insects. However, most cabins are located in wooded, mountainous environments and cannot be guaranteed completely free of pests, bugs, or wildlife. This is part of the natural Smoky Mountain experience. No refunds are given for pests, bugs, or animal sightings. If you encounter a maintenance issue related to pests during your stay, contact us immediately and we will address it as quickly as possible.

What if an amenity stops working during my stay?

While we maintain all properties to a high standard, occasional equipment issues can occur. No refunds or relocations are provided if amenities such as TVs, fireplaces, hot tubs, or game systems malfunction during your stay.
